This policy applies to employees, contractors, and agents who handle personal data relating to students, parents, staff, and third parties involved in the provision of services. Quality In Tutoring Ltd acts as the data controller for relevant processing activities.
Data may include student names, ages, contact details, academic records, learning progress, special educational needs, parent or guardian details, staff contact details, qualifications, DBS checks, training records, payment order data, and relevant third-party provider information. Processing is based on consent, contractual necessity, and legal obligation where applicable.
Access to personal data is limited to authorised personnel. Sensitive information is protected during transmission and storage, and digital records are securely maintained with regular backups. TutorCruncher is used as the primary secure system for lesson scheduling, attendance tracking, safeguarding reporting, and client communication. Staff must not store sensitive student information on personal devices or unapproved external platforms.
Personal data is retained only as long as necessary and then securely deleted or destroyed. Individuals may request access, correction, deletion, restriction, portability, objection handling, and human intervention where relevant. In the event of a data breach, the company will assess impact, notify affected individuals and the ICO when required, and take containment and remediation steps.
